Separate identifiers from quantities

An SKU, a postal code, and a long account reference may contain only digits without being quantities. Preserve their exact characters. Prices and counts can be converted to numbers when you need calculations.

Our sample uses 00123 as a product code, 29.90 as a price, and 2026-09-07 as a delivery-date string. Each needs a different decision after import. A type label in Table Studio is a detection hint, not a declaration of business meaning.

What the XLSX export preserves

The current Table Studio workflow holds captured values as strings and passes those strings to the XLSX exporter. The sample workbook therefore contains 00123 as a text cell. Its delivery date is also text, so opening the workbook does not require Excel to infer a date from that value.

This preserves spelling, not spreadsheet semantics. If you sum the price column or subtract two dates, first convert the relevant cells to numeric or date values. Keep the identifiers as text. A workbook full of accurate text is a starting point for analysis, not a promise that every formula already works.

Why CSV needs a separate import decision

CSV stores fields and separators, without an Excel cell type. Quoting a field protects its comma or quote characters; it does not instruct Excel to keep an identifier as text.

In Excel, use Data > From Text/CSV and inspect the preview. Set the identifier column to Text before loading it, using the transformation options available in your version. When pasting instead, format the destination cells as Text first. Microsoft also documents automatic conversion controls in supported recent versions.

Resolve ambiguous dates before converting them

03/04/2026 could mean March 4 or April 3. Preserving that string avoids a silent conversion, but it does not resolve the ambiguity. Check the source’s locale or documentation before making it an Excel date.

For a repeatable export, keep a raw-data worksheet and convert values on a separate analysis sheet. Record the date convention there. If another person opens the file with a different locale, the original text remains available for checking.

The sample uses year-month-day to make the intended date clear. It still needs a deliberate conversion if you want Excel date arithmetic.

Do a short check after opening the file

Check the formula bar as well as the displayed cell. A custom format can show leading zeros without making them part of the underlying value. That distinction matters when another system imports the workbook.

Compare one identifier, one long number, and one date with the original page. Once digits have been discarded, a display format cannot reliably reconstruct them. Reimport from the unchanged source rather than guessing.

  1. Confirm that 00123 is still the full product code.
  2. Check the complete date string against the source.
  3. Confirm that Cable, USB-C occupies one cell.
  4. Convert only calculation columns, then check a formula on a known row.
